Policy
This policy explains what personal information Automatik collects, why we collect it, who we share it with, and the control you have over it. Plain language, no dark patterns.

Who we are
Automatik (“Automatik”, “we”, “us”) is an AI systems and web studio based in Montréal, Quebec, Canada. We build custom websites, automation systems and AI-powered workflows for businesses.
This policy covers useautomatik.com and the personal information we handle in the course of our work. Questions about any of it go to hello@useautomatik.com.
What we collect
Information you give us. Your name, email address, phone number, company, and anything else you choose to write in a form, an email or a discovery call.
Information collected automatically. When you visit the site our hosting provider records standard technical data:
- IP address and approximate region
- browser and device type
- the page that referred you
- pages viewed and time spent on them
Client project data. A system we build or operate for a client may process data belonging to that client and its customers. We handle that data on the client's instructions under the agreement we have signed with them — never for our own purposes.
Why we collect it
We use personal information to:
- answer enquiries and prepare proposals
- deliver, support and improve the work we are engaged for
- send you information or documents you asked for
- keep the site secure, available and working correctly
- meet our accounting, tax and other legal obligations
We do not sell personal information, and we do not share it for third-party advertising. We do not make decisions with legal or similarly significant effects about you using automated processing alone.
Consent
Under Quebec's Law 25 and Canada's PIPEDA we collect personal information with your knowledge and consent, for the purposes described above, and we limit collection to what those purposes actually require.
You can withdraw consent at any time by writing to hello@useautomatik.com. Withdrawing consent may mean we can no longer provide part or all of a service; we will tell you if that is the case before acting on the request.
Cookies and analytics
This site uses only what it needs to serve pages and remember your preferences. We do not use advertising cookies, cross-site trackers or social media pixels.
Where we measure traffic, it is configured to report in aggregate rather than to profile individuals. Your browser's privacy settings let you block or clear cookies at any time; the site continues to work if you do.
Service providers
We rely on a small set of vendors, each of which may process limited personal information on our behalf:
- website hosting and content delivery
- email, calendar and scheduling
- payment processing and accounting
- AI model providers, where a system we build calls one
We share only what a provider needs to do its job, and we choose providers that offer a comparable level of protection. We do not give any of them permission to use your information for their own purposes.
AI systems and your data
Automation and AI systems we build may pass content through third-party model providers in order to work.
We do not use client or customer data to train our own models. Where a provider offers it, we connect over an API with training disabled and retention limited to what is needed to return a result. Before a system goes live we tell the client which providers are in scope and what data reaches them.
AI output can be wrong. Systems we deliver are designed to keep a person in the loop wherever an error would matter.
How long we keep it
We keep personal information only as long as it serves the purpose it was collected for, or as long as the law requires.
- Enquiries that do not become projects: deleted within 24 months.
- Project files and correspondence: kept for the life of the engagement and a reasonable period after, then deleted or anonymised.
- Contracts, invoices and accounting records: kept as long as Canadian tax and limitation rules require, generally seven years.
How we protect it
Access is granted on a need-to-know basis, accounts holding personal information require multi-factor authentication, and data is encrypted in transit.
No system is perfectly secure. If a confidentiality incident creates a risk of serious injury, we will notify the people affected and Quebec's Commission d'accès à l'information as Law 25 requires, and keep a register of the incident.
Your rights
You can ask us to:
- confirm whether we hold personal information about you, and give you a copy
- correct information that is inaccurate, incomplete or out of date
- delete information we no longer have a reason to keep
- stop using or communicating information, where the law allows
- release your information in a structured, commonly used technical format
- withdraw a consent you previously gave
Write to hello@useautomatik.com and we will respond within 30 days. If you are not satisfied with our answer you can complain to the Commission d'accès à l'information du Québec or to the Office of the Privacy Commissioner of Canada.
Where your data lives
Automatik operates from Montréal. Some of our providers store or process data outside Quebec — most often in the United States or the European Union.
Before using a provider outside Quebec we assess whether the information will receive adequate protection, taking into account the sensitivity of the data, the purpose, the safeguards in place and the legal framework of the destination.
Children
This site and our services are directed at businesses, not at children. We do not knowingly collect personal information from anyone under 14. If you believe a child has given us information, contact hello@useautomatik.com and we will delete it.
Changes to this policy
We update this policy when our practices change. The date at the top of the page is always the date of the version you are reading, and any material change is described here rather than made quietly.
